If you’ve ever tried to organize your photos and felt overwhelmed, you’re not alone. Most people don’t struggle because they’re doing it wrong, they struggle because they’re missing a few key pieces.
Here are the three most common mistakes I see, and how you can avoid them.
1. Starting Without a Plan
It’s so tempting to jump right in – open a folder, start sorting, maybe delete a few duplicates. But without a plan, it’s easy to lose direction quickly.
A simple plan gives you:
- A clear starting point
- A sense of direction
- An achievable end goal
Without it, photo organizing can feel confusing and overwhelming. With it, everything becomes more manageable. Taking a few minutes to think through your approach before you begin will save you hours of frustration later.
2. Not Creating a Digital Photo Hub
This is a big one.
A Digital Photo Hub is the one central place where you collect all your digital photos and videos. If your photos are scattered across devices, drives, and accounts, it’s almost impossible to truly organize them.
When you bring everything together into one location:
- You know what you have
- You can organize it more easily
- You can back it up properly

3. Not Using a System
Once you have a plan and a central location, the next step is a simple system to keep everything running smoothly.
A good system doesn’t need to be complicated. In fact, the simpler it is, the more likely you are to stick with it.
At its core, your system should include:
- A central location (your Digital Photo Hub)
- A reliable backup plan (at least two copies in different places)
- A simple way to keep adding new photos
When these pieces are in place, your photos become much easier to organize, protect, and enjoy.
What Does This Look Like in Real Life?
Here’s what this system looks like for me:
First, I use a Digital Photo Hub as the central location for all my photos and videos.
Second, I make backup copies of my Digital Photo Hub:
- One copy stays close by on an external hard drive
- One copy is stored in an online storage site
Third, I keep things simple when it comes to new photos.
Throughout the year:
- I use a folder for the current year inside my Digital Photo Hub to collect any photos from sources other than my phone
- I automatically back up photos on my phone as I take them. They are stored in an online storage site.
At the end of the year:
- I download my phone photos into that year’s folder
- I organize them
- I update my backup copies
The whole process takes me about two hours a year.
Keep It Simple
Photo organizing doesn’t have to be complicated to be effective.
When you have:
- A plan
- A central hub
- A simple system
…everything gets easier.
